01 Introduction

This Privacy Policy explains how TheSyn AI ("we", "us") collects, uses, and protects your personal data when you use our Service at thesynai.com. By using the Service, you consent to the practices described here.

02 Information we collect

  • Account information — your email address, password (hashed), and any profile details you provide.
  • Files you upload — research data, university or journal guidelines, reference lists, and any other documents you submit for processing.
  • Usage data — the writing modes you select, the inputs you provide, credit balance and transactions, and timestamps of your activity.
  • Technical data — IP address, browser type, device information, and cookies. See our Cookie Notice for details.

03 How we use your information

  • To generate academic documents from your inputs.
  • To run statistical analysis on data files you upload.
  • To manage your account, credits, and transactions.
  • To provide support and respond to your enquiries.
  • To improve the quality and accuracy of the Service.
  • To comply with legal obligations.

04 File processing

When you upload a file, its contents are transmitted to third-party AI processing providers so that the document can be generated. Files are processed for the purpose of producing your document and are not used to train AI models unless permitted by the processor's terms.

Anonymise your data before uploading.

You should remove or pseudonymise directly identifying participant information before uploading research data. Do not upload data you do not have the right to process, or that breaches your own ethics approval.

05 Data sharing

We share your data with the following categories of third parties:

  • AI processing providers — to generate content from your inputs.
  • Hosting and infrastructure providers — to store and serve the Service.
  • Payment processors — to handle credit purchases. We do not store your card details.
  • Analytics providers — to understand how the Service is used.

We do not sell your personal data. We only share it with processors who need it to operate the Service, under appropriate data processing agreements.

06 Cookies and tracking

We use cookies and similar technologies to keep you logged in, remember your preferences, and understand how the Service is used. See our Cookie Notice for details.

07 Data retention

We retain your account information for as long as your account is active. Generated documents are stored so you can access them later. Uploaded files may be retained for a limited period to allow re-generation or support requests, after which they are deleted.

You may request deletion of your account and associated data at any time by contacting us.

08 Security

We use industry-standard measures to protect your data, including encrypted transmission (HTTPS) and secure storage. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

09 Your rights

Depending on where you live, you may have the right to:

  • Access the personal data we hold about you.
  • Request correction of inaccurate data.
  • Request deletion of your data.
  • Object to or restrict certain processing.
  • Request a portable copy of your data.
  • Withdraw consent at any time.

To exercise any of these rights, email support@thesynai.com.

10 International transfers

Your data may be processed by providers located in countries other than your own. Where this happens, we rely on appropriate safeguards such as standard contractual clauses to ensure your data is protected to a comparable standard.

11 Children

The Service is not intended for anyone under 18. We do not knowingly collect data from children. If you believe a minor has provided us with data, contact us and we will delete it.

12 Changes to this policy

We may update this Privacy Policy. Material changes will be posted on this page with an updated date. Continued use of the Service after a change means you accept the updated policy.
